Terms and conditions

Last updated 2 October 2026

These Terms and Conditions ("Terms") are an agreement between Doccine Private Limited ("Doccine", "we", "us") and the hospital, clinic or doctor that signs up for Doccine ("Customer", "you"), together with every person the Customer gives access ("Users"). By joining the waitlist, creating an account or using Doccine, you accept these Terms and our Privacy Policy, which is part of them.

1. What Doccine is

Doccine is a web-based operating system for hospitals, clinics and doctors (the "Service"): appointments and queue, consultations and e-prescriptions, patient records, vitals, lab reports, billing, messaging and related tools, used in a web browser on a computer, tablet or phone. Nothing needs to be installed.

Doccine is used by healthcare providers to run their own practice. Doccine does not provide medical care, does not list or recommend doctors to the public, and does not take part in the relationship between a doctor and a patient.

2. Who may use Doccine

  • The Service is for registered medical practitioners (registered with the National Medical Commission, a State Medical Council or another recognised council), healthcare establishments, and the staff they authorise.
  • You must be at least 18 years old and able to enter into a binding contract under Indian law.
  • The Customer confirms that the registration details it gives are true and keeps them up to date. Doccine may check registration details and may refuse or suspend an account that does not meet these Terms.

3. Accounts and access

  • Each User signs in with their own account. Accounts must not be shared.
  • The Customer decides who gets access and with which role (for example owner, doctor, reception or admin), and is responsible for what its Users do in Doccine.
  • Keep passwords and sign-in methods safe and tell us at once at support@doccine.com if you suspect someone else has used your account.

4. Clinical responsibility

Doccine helps doctors with information and checks, for example allergy, interaction, dose and pregnancy checks, summaries, trends and reminders. These are decision support only. They are based on the information entered and on reviewed reference sources, may not cover every situation, and never replace the professional judgement of a qualified doctor.

Every diagnosis, prescription and treatment decision is made by the treating doctor, who remains fully responsible for it. Doccine does not warrant that any check will find every problem, and is not responsible for clinical decisions made with or without its suggestions.

5. Patient data: who owns it and how Doccine handles it

Under the Digital Personal Data Protection Act, 2023 ("DPDP Act") and its Rules, the Customer is the Data Fiduciary for the personal data of its patients, and Doccine processes that data on the Customer's behalf as its Data Processor. The patient data belongs to the Customer.

The Customer is responsible for having a lawful basis for the patient data it enters, including the patient's consent where required, and the consent of a parent or guardian for children; for giving patients the notices the law requires; and for sending patients only the messages they have agreed to receive.

Doccine will:

  • process patient data only to provide the Service to the Customer and on the Customer's instructions, and never sell it or use it for advertising;
  • keep it confidential and protect it with reasonable security safeguards, including encryption in transit and at rest, access by role, and records of important actions;
  • store patient records and files on servers in India;
  • use service providers (sub-processors) only to run the Service, under obligations no weaker than these, and list them in the Privacy Policy;
  • inform the Customer without undue delay of a personal data breach affecting its patients, and help it meet its own duties to inform the Data Protection Board of India and the patients affected;
  • help the Customer answer requests from patients to access, correct or erase their data; and
  • access a Customer's records for support only when the Customer has switched on support access, and record every such access.

Doccine may use data that has been made anonymous, so that no person can be identified, to keep the Service working and to improve it.

6. Keeping and deleting data

  • While your account is active, your data stays available to you, and you can export it at any time.
  • If your account ends, you have 90 days to export your data. After that it is deleted from our active systems, and from backups within a further 30 days, except where the law requires us to keep it longer (for example tax invoices).
  • Medical records must be kept for the periods the law and the National Medical Commission require. The Customer is responsible for keeping or exporting its records for those periods.

7. Trial, plans and payment

  • New Customers get a free trial of the period shown at sign-up. After the trial, a paid plan is needed to keep adding records; your data stays available to view and export.
  • Plans are priced per doctor, monthly or yearly, plus GST, as shown when you choose a plan. Promotional codes and discounts apply as stated with the offer.
  • Plans paid with autopay renew automatically at the end of each period unless cancelled; other plans are renewed by paying the next bill. Payments are processed by our payment partner; Doccine does not store card details.
  • Prices may change with notice before your next renewal. Refunds and cancellations follow our Refund and Cancellation Policy.

8. Messages to patients

Where the Service sends WhatsApp, SMS or email messages for the Customer (for example reminders, prescriptions and bills), the Customer is responsible for the patient's consent to receive them and for their content. Messages follow the rules of the messaging provider and Indian telecom rules, including registered templates where required. Doccine is not responsible for delays or failures caused by the messaging provider.

9. Acceptable use

You agree not to:

  • use the Service against the law, or to store or send content you have no right to;
  • try to access another Customer's data, test or break our security, or interfere with the Service;
  • copy, resell, reverse-engineer or build a competing product from the Service; or
  • use automated tools to collect data from the Service, except the exports we provide.

10. Availability and changes

We work to keep Doccine available and safe, take regular backups and fix problems promptly, but the Service is provided as it is and may sometimes be unavailable, for example during maintenance. We may improve, change or retire features; we will give reasonable notice before removing anything you rely on.

11. Intellectual property

Doccine, its software, design, reference lists and content belong to Doccine or its licensors. The Customer gets a non-exclusive, non-transferable right to use the Service for its own practice while its account is active. The Customer keeps all rights in its own data.

12. Suspension and ending the account

  • You can cancel at any time from Settings; your plan runs until the end of the period you have paid for.
  • We may suspend or close an account that breaks these Terms, is used fraudulently, or puts patients, other Customers or the Service at risk, with notice where reasonably possible.
  • Sections 4, 5, 6, 11, 13 and 15 continue after the account ends.

13. Limitation of liability

To the extent the law allows, Doccine is not liable for indirect or consequential losses, loss of profit or business, or for clinical decisions, and Doccine's total liability for any claim relating to the Service is limited to the fees the Customer paid Doccine in the 12 months before the claim. Nothing in these Terms limits liability that cannot be limited by law.

14. Indemnity

The Customer will compensate Doccine for claims by third parties, including patients, that arise from the Customer's clinical decisions, from data it entered without a lawful basis, or from its breach of these Terms.

15. Law and disputes

These Terms are governed by the laws of India. Disputes are subject to the exclusive jurisdiction of the courts at Surat, Gujarat.

16. Changes to these Terms

We may update these Terms. We will show the new date on this page and tell Customers about important changes before they take effect. Continuing to use the Service after that means you accept the updated Terms.

17. Contact and grievances

Questions about these Terms: support@doccine.com. Privacy requests: privacy@doccine.com. Grievances: grievance.officer@doccine.com. We acknowledge every grievance and reply within the time the law allows.
